EC3 Detailing – Terms of Service & Privacy Policy

By booking, confirming, or receiving any service from EC3 Detailing LLC (“EC3,” “we,” “us,” “our”), or by using our website, forms, or messaging, you (“Customer,” “you,” “your”) agree to the following Terms of Service and Privacy Policy.

1. Terms of Service

1.1 Services & Scope

EC3 provides mobile auto detailing services at your specified location. We supply the tools, equipment, and products needed to perform the booked services. Our services are cosmetic cleaning only and do not include mechanical inspection, diagnosis, or repair.

You confirm you are at least 18 years old and are the owner of, or authorized to consent to service on, the vehicle.

1.2 Booking, Deposits & Appointment Times

Deposits: A deposit is required to secure each appointment and will be applied to your final balance.

Cancellations & No‑Shows: If you cancel or do not show for your appointment, your deposit is forfeited as a call‑out fee.

Rescheduling: If you reschedule with at least 48 hours’ notice, or EC3 reschedules due to weather or safety, your deposit is

moved to the new appointment.

Extreme Condition Refusal: If we arrive and find conditions that require biohazard or extreme‑condition pricing (e.g. mold, bodily fluids, infestation) and you decline the additional charge, we may cancel the service and your deposit is forfeited as the call‑out fee.

Appointment Times: All times given are arrival windows / estimates, not guarantees. Traffic, weather, and prior jobs may affect exact arrival and completion; we will communicate delays when reasonably possible.

1.3 Packages, Time Limits & Add‑Ons

Standard pricing assumes normal soil levels and includes up to a set amount of technician time per vehicle:

$199 Interior Steam Cleaning: up to 3 hours of labor.

$279 Full Detail (interior + exterior): up to 4 hours of labor.

If actual condition requires significantly more time than included, we will:

Explain what is required to meet your expectations, and

Offer paid add‑ons or additional time, or

Do the best possible result within the included time at no extra charge.

Heavy soil (excess trash, pet hair, sand, deep stains, smoke, strong odors, mold/biohazard) is not included in base pricing and may require paid add‑ons such as:

Pet hair removal

Deep stain shampoo / extraction

Odor / ozone treatment

Headliner spot treatment

Engine bay cleaning

Mold or biohazard cleanup

Other specialty services as quoted

Quotes are based on information you provide. If vehicle size or condition is materially different on arrival, EC3 may adjust pricing before starting. If you decline, the appointment may be canceled and your deposit used as the call‑out fee.

1.4 Travel, Access & Waiting Time

Service Area: Standard pricing includes travel within 0–5 miles of Lyndhurst, NJ.

Travel Fees per Visit:

5–10 miles: +$15

10–15 miles: +$25

15+ miles: +$50 (subject to availability and approval)

You must provide safe, legal parking and reasonable access to the vehicle.

You (or your representative) must be available at the start for access and at the end for walkthrough and payment.

After completion, you have a 15‑minute grace period for walkthrough and payment. Beyond that, waiting time is billed at $1 per minute. If you are unavailable, we may secure the vehicle as agreed, document results with photos, and consider the service accepted and billable in full, plus any applicable waiting fees.

1.5 Results, Limitations & 72‑Hour Fix Guarantee

We aim to make your vehicle look, feel, and smell as close to new as its age, materials, and pre‑existing condition reasonably allow. Some issues are permanent, including (but not limited to):

Set‑in stains

Burns, tears, worn fibers

Deep scratches, rock chips, faded or oxidized paint

Long‑term odors, smoke, or water damage

At completion, we offer a walkthrough. Once you sign off, the job is considered complete.

If you notice missed areas within 72 hours, contact us and we will schedule a reasonable touch‑up of those areas at no extra labor charge.

This guarantee does not cover:

New spills, new dirt, or damage after the service, or

Permanent defects or limitations we disclosed at the start.

Refunds are not provided except where required by law or in cases of confirmed damage caused by our negligence.

1.6 Steam, Electronics & Mechanical Issues

We use steam and chemicals consistent with industry practice and avoid known sensitive components where possible. Certain factory or aftermarket electronics, sensors, and accessories can be sensitive to moisture, heat, or agitation.

EC3 is not responsible for failure or worsening of:

Pre‑existing faulty, worn, corroded, or improperly installed parts, or

Hidden defects that become visible after cleaning,

unless caused directly by our documented negligence.

We do not perform mechanical repairs and are not responsible for unrelated mechanical failures before, during, or after service.

1.7 Photos, Video & Marketing

We may take before/after photos or videos of your vehicle for training, quality control, documentation, and marketing. Identifying information (such as license plates) will be obscured where reasonable.

If you do not want your vehicle images used for marketing, notify us in writing (email or text) before or at the appointment and we will honor that request.

1.8 Pricing, Tax, Cash vs Card & Non‑Payment

Sales Tax: All prices quoted are before New Jersey sales tax. Applicable NJ sales tax (currently 6.625%) is added to taxable services at checkout and shown on your invoice.

Cash Price (Advertised Price): Prices we advertise and quote over the phone, text, or online are cash prices (payable by cash, Zelle, or other non‑card methods we accept).

Card Price: If you choose to pay by debit or credit card, a card processing fee may be added to the cash price. When a processing fee applies, both the cash price and the card price will be clearly shown to you before you pay.

When Payment Is Due: The remaining balance (including tax and any approved add‑ons, travel, and waiting fees) is due immediately upon completion of service.

Card Authorization: By paying a deposit or placing a card on file, you authorize EC3 to charge that card for the remaining agreed balance at the end of your appointment.

Refusal to Pay & Collections: If you refuse to pay for work performed and signed off, EC3 may:

Charge any card on file for the outstanding amount;

Cancel or suspend any future appointments or memberships; and

Use lawful collection methods to recover the balance. Overdue balances may incur late fees and/or interest where permitted, and you agree to be responsible for reasonable collection costs, including attorney’s fees, to the extent allowed by New Jersey law.

Chargebacks: Initiating a card chargeback for a service completed in accordance with these Terms does not remove your obligation to pay. If a dispute is resolved in our favor, you remain responsible for the original charge and any associated fees.

1.9 Weather, Safety & Rescheduling

For mobile work, we may reschedule or modify services if weather or site conditions make it unsafe or likely to compromise results (for example: heavy rain, snow/ice, extreme cold or heat, or no covered area). Weather‑based reschedules do not cause loss of deposit; the deposit moves to the new date.

1.10 Liability Limitation & Governing Law

If EC3 is found to have caused damage through negligence, our liability is limited to the reasonable cost of repair at a shop of our choosing or the fair market value of the damaged component, up to but not exceeding the total amount you paid for that visit, except where prohibited by law. We are not liable for indirect or consequential damages (such as loss of use or lost income).

These Terms are governed by the laws of the State of New Jersey. Any dispute will be handled in the appropriate state courts in New Jersey.

2. Privacy Policy

2.1 Information We Collect

We may collect the following types of information:

Contact information: name, phone number, email, address, city/ZIP.

Vehicle information: year, make, model, size, condition notes, photos/videos.

Booking & payment information: appointment dates/times, services requested, pricing, payment status; card details are processed securely by our payment processor and are not stored in plain text by us.

Communications: texts, emails, call logs and recordings related to inquiries, bookings, and support.

Website usage data: basic analytics such as pages visited, device type, and general location, collected via cookies or similar technologies.

2.2 How We Use Your Information

We use your information to:

Provide, schedule, and complete detailing services.

Communicate about quotes, confirmations, reminders, reschedules, and follow‑ups.

Send you review requests, referral information, and occasional promotions or seasonal offers.

Maintain internal records (service history, vehicle notes, preferences, issues).

Improve our services, marketing, and customer experience.

Comply with legal obligations and protect our rights.

2.3 SMS, Calls & Email

By providing your phone number or email and submitting a form or booking, you consent to receive:

Service‑related texts, calls, and emails (quotes, confirmations, reminders, follow‑ups, issues).

Occasional marketing texts/emails about offers, seasonal services, and reactivation campaigns.

You can opt out of marketing at any time by replying STOP to SMS or using the unsubscribe link in emails. Service‑essential messages (e.g. appointment reminders or issues with your booking) may still be sent as long as you have active or upcoming services.

We may also use Ai technology for calls and texts and for data management.

2.4 Sharing of Information

We do not sell your personal information.

We may share your information with:

Service providers: scheduling/CRM platforms, payment processors, communication tools, and other vendors that help us run our business.

Legal & safety: when required by law, court order, or to protect our rights, property, or safety.

Business transfers: in connection with a merger, sale, or other change of control, your information may transfer as part of the business assets.

All service providers are given only the information reasonably needed to perform their functions.

2.5 Cookies & Website Tracking

Our website may use cookies or similar technologies to:

Remember your preferences,

Improve site performance,

Measure traffic and usage patterns.

You can usually control cookies through your browser settings; disabling them may affect site functionality.

2.6 Data Security & Retention

We take reasonable measures to protect your information from unauthorized access, use, or disclosure. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

We retain information for as long as reasonably necessary to:

Provide services and maintain your service history,

Meet legal, tax, and accounting obligations, and

Support our legitimate business interests (for example, handling disputes or reactivation offers).

2.7 Children’s Privacy

Our services are not directed to children under 13, and we do not knowingly collect information from children under 13. If we learn we have unintentionally collected such information, we will delete it.

Opt out of marketing emails/SMS as described above.
